RitzeeCare’s Role
RitzeeCare provides insurance A/R recovery and denial management services to healthcare practices.
When RitzeeCare creates, receives, maintains, or transmits protected health information on behalf of a HIPAA-covered client, RitzeeCare may act as the client’s business associate. The parties define permitted uses, disclosures, safeguards, reporting responsibilities, and other applicable requirements in a written Business Associate Agreement and related service agreements before access begins.
RitzeeCare uses client information only for the purposes authorized by the applicable agreement, to perform contracted services, or as otherwise permitted or required by law.

Access Management
Access to client information is limited to authorized individuals who require it for assigned responsibilities.
Access permissions are established according to job responsibilities and client authorization. Access should be modified or removed when responsibilities change or when access is no longer required.
Client credentials should not be submitted through the public contact form or ordinary email. Access instructions are coordinated through the approved onboarding process.
Vendors and Subcontractors
RitzeeCare may use service providers to support business operations. Providers are evaluated according to the services they perform and the information they may access.
When a subcontractor creates, receives, maintains, or transmits protected health information on RitzeeCare’s behalf, RitzeeCare addresses applicable privacy, security, and Business Associate Agreement requirements before permitting that access.
RitzeeCare does not authorize subcontractors to use client information for their independent marketing purposes.
Information Retention and Disposal
RitzeeCare retains website inquiry information for as long as reasonably necessary to respond to the inquiry, maintain appropriate business records, satisfy legal or contractual requirements, resolve disputes, and protect legitimate business interests.
Client information is retained and disposed of according to applicable agreements, documented procedures, legal requirements, and operational needs. At the end of an engagement, protected health information is returned or destroyed when required and feasible, subject to the terms of the applicable Business Associate Agreement and any lawful retention obligations.
Paper and electronic information are disposed of using methods appropriate to the sensitivity and format of the information.
Security Incidents
RitzeeCare maintains procedures for identifying, evaluating, documenting, and responding to suspected privacy or security incidents.
When an incident affects client information, RitzeeCare follows the notification and cooperation requirements established by the applicable agreements and law. This may include notifying the affected client, preserving relevant information, supporting an investigation, taking corrective action, and helping the client meet applicable obligations.
